If you decide to send an email, it should be also written in a business format, but mustn’t contain the heading. In the first paragraph of your letter you should specify the issue. Provide all the information you find to be important. The letter must contain information about date and time when the issue took place, location, name of person who dealt with you, name of a product, reason of a conflict, number of your account, warranty information (in case you make a purchase). Make sure you don’t let emotions rule the style of your writing. Complaint letter written by a decent person mustn’t contain any abusive words or emotional expressions. The second paragraph should provide your solutions about how the issue can be solved. For example, if the reason of a complaint was poor service, you can ask for an apology and discount. If the bought a faulty item, you can request the exchange or refund. Thank reader for his/her time in the third paragraph. Saying some compliments about the company will soften the complaint. Besides, it will give the reader a hope that you are planning to keep on dealing with this particular company (and your issue will be solved, you will stay company’s client, right?).
