Two weeks ago our employer announced that we would be moving our office to a new location; this was great news considering our company had grown in number quite drastically over the last year. The prospect of having a gaming room for our young interns was refreshing and invigorating. Moving into a new office space is an exciting event, especially if you moving to an improved and large location. The potential change of scenery did come with some rather horrifying news; my employer also announced that I would be responsible for entire move. It was time to get my ducks in row; I decided to do a bit of research to ensure that our company enjoyed a pleasant and successful relocation experience. I have personally relocated homes before and can vouch that it can be a very frustrating experience. Relocating offices is no different, so to keep things simple, I used my previous experience and broke down the process into easy steps. With the help of research, I have listed everything that needs to be considered when relocation to a new premises. Choose a good relocation company Most relocations involve you working closely with moving companies. In order to avoid any issues you need to choose a moving expert that is highly recommended, organized and reliable. If you are relocating within the UK, specifically London, I recommend you use a Man and Vans service. (Do not do it alone) Use an effective communication system During a move, you need to make sure that all the parties involved are well informed about any activities, development and issues. Having a good communication system will reduce than amount of miscommunication and will also help you stay organised . I recommend that you maintain a database of the individuals involved along with all their possible contact details; this includes moving companies, department heads, staff, property agents, plumbers, security officials, electricians and regulators. Plan your relocation thoroughly There is a lot to do prior to relocating, make sure you have take enough time to plan your relocation (Recommended time is 12 months before lease expiry) and make sure that you have considered every aspect of the relocations. e.g Furniture, equipment, IT, Telecoms, Office lay out, safety and health compliance etc Inventory Where do missing socks go? When relocating, that question becomes more prominent, I have lost countless items during a move. To reduce the loss of goods, create an inventory of all the things that will be moved and segment them into categories. Some companies go as far as to give them barcodes in order to tally them after the completion of the relocation. Prepare for the unexpected This might sound ridiculous to some but jotting down a strategy that focuses on addressing a list of potential issues can reduce risk, avoid delay and ensure that that costly business downtime is minimized. Create your own relocation checklist Any office relocation, regardless of the size of your business, requires a great deal of planning and preparation to ensure that your office move day goes smoothly with as little downtime as possible. With so much to do and so many tasks to juggle, it can seem like a mammoth task to undertake.
