January is a great month to organize your work space and keep it that way for the coming year. Although it may seem like an overwhelming task to clean up your desk and files, what seems to be more challenging to most people is how to maintain that organization once you have finally settled down and got your office looking exactly the way you want it to look. Maintaining order and tidiness in an office space is all about creating work habits that will stick with you. It takes time and perseverance to create habits. According to experts it takes approximately 30 days to create pathways in your brain that make an action a habit. This means that you must be patient and diligent if you really want to create neat habits for your work space. In order to create any habit we must make it easy for ourselves to do this. It is human nature to always take the path of least resistance. If you have not set up easy ways for you to maintain order in your office it will quickly go back to the way it was before you cleaned it up. The main problem in an office environment is the piles of papers that come in. Creating an efficient way to organize or dispose of these papers is the key to keeping things tidy. Think about what is the best solution for you. Perhaps you should have three different baskets on your desk for papers: one for filing, one for shredding and one for recycle. Perhaps what will work better for you is having your shredder in the office along with your other office equipment like your printer or your desktop calculator. This will make it easy for you to shred your papers as you receive them and eliminate the headache of coming to the end of the week or month and having to spend a couple of hours shredding because you have such a huge pile of papers. You have to decide what is best for you. Perhaps it is better if your papers are sorted before they even enter your office. In a home office environment, for instance, you could have a place outside of your office where your papers are kept and sorted before they have a chance to get into the office space. An organized system for important papers you wish to keep is also essential to maintain order. No matter how paperless we want to be there are still papers that we decide we must keep. These papers must be filed somewhere or they will end up littering every empty surface in your office. Invest in an easy to use filing cabinet and force yourself to file on a regular basis. Remember that it takes a month to create a habit. If you spend 5 minutes filing every day for a month you will be well on your way to success.
