6 Ways to Make an Effective Meeting


Work is hard enough without difficult and ineffective meetings, though most employees will say that the largest waste of their work day is spent in meetings. Meetings are a nuisance when they are effective—when they are not effective, they are simply irritating. There’s the one person that won’t shut up about their agenda, despite the fact that the meeting is about something completely different. Then there are the people that shouldn’t even be in the meeting, which is a waste of company time and their time. As meetings tend to take up an increasing amount of hours in the day, more and more precious time is taken and wasted. Here are 6 ways that you can make that time spent count and ensure that your meetings are effective.


The time before a meeting is the most important time to prepare for it. Some of the wasted time in a meeting is bringing everyone up to speed, or too much time spent figuring out the problem at hand and why the meeting is being held. Be sure to set a very clear agenda that states the objective (more on that below), and outlines the format of the meeting. If people expect a sit down meeting and show up and see a full on presentation, they will be ill-prepared for the next hour or so. For the attendees, ensure that they have the background material required and that they have read the so called material. If they are not prepared to discuss the idea or problem at hand, the meeting will be largely ineffective. If you have questions that you need answered, send them to the attendees beforehand so that they can think about their answers. With some meetings, technology or equipment is needed, so be sure to hire out for meeting support rental equipment in Houston if necessary to make the meeting easier and quicker.  

Clear Objective

Mentioned above, a clear objective is something that every meeting needs and that everyone needs to be aware of. If the attendees are not aware of the objective, they may have a misconstrued conception about what the meeting is. You must spend time working on a strategy for the meeting and defining the meeting for the attendees. Ask yourself: what must I accomplish during this meeting?

Invite the Right People

When you are preparing for a meeting, the attendees are the most important part: the meeting is to meet with other people and it is for work that needs to be done with multiple people. If you are announcing a big change that involves many people, you’ll want to invite everyone who is affected. If you have a small project that needs to be expanded, only invite the people that are necessary. When you have invited too many people, you will end up wasting employee time, and if you invite too few people, you won’t be able to accomplish what you need.

Consider the Time

According to an article by Forbes, they recommend scheduling the meeting for half of the time you originally intended. “Meetings are like accordions—they stretch naturally to fill the allotted space.” If you structure the meeting for half the time, you will naturally work quicker to accomplish everything that you need.


Every meeting is very different, and each meeting will need different technologies. Though this may seem unnecessary, certain technologies or other equipment can help a presentation or meeting and can ensure that a meeting moves along quicker.

Follow Up

After the meeting is finished, it is important to follow up with the participants and make sure that the solution has been implemented, or that the assignments given out at the meeting have been accomplished. Though a meeting can be effective, it is more important to follow through after the fact and be sure that everyone understands what is expected of them. An email after the fact highlighting the most important points of the meeting is an easy way to ensure that everyone understands their part.

Though meetings can be ineffective, with the above steps, you can ensure your next meeting to be quick and efficient.
