With the evolution of the computer and different computer applications, Microsoft made the computer application Microsoft Outlook. A personal information manager is mostly used for internal emailing in the organization. Apart from the email application, it also has a task manager, calendar, a journal, contact manager, web browsing and note taking options. There are different versions of the Outlook application that include Outlook for MS-DOS, Outlook for Windows 3.1x, Outlook for Macintosh, Outlook 97, 98, 2000, 2002,2003,2007,2010 and Outlook 2011 for Mac. When repairing Microsoft Outlook data files, several ways can be used. These include: Inbox tool repair The inbox repair tool is used to diagnose and repair errors such as data corruption in the Personal Folders file (.pst) and Offline Folder file (.ost). To do this, it scans the file, determines whether the structure of the file is intact and if it is not intact, it rebuilds the headers and resets the file structure. The repair is done by scanpst.exe, which is installed when outlook is installed. The following steps should be followed: • One should exit outlook if it is still running and then double click on scanpst.exe on the drive: \Program Files\Microsoft Office\OFFICE12. • Then the user should enter the name of the .pst or .ost file that they want to check on the ‘enter the name of the file you want to scan box’ then click browse to search the file. • Next, click option to specify the scan log option you want and then click start. • If errors are detected, the user is prompted to start the repair process and by clicking on repair, the repair process will start. During the repair process, a backup file is created. • Now, start outlook using the profile with the file you were repairing, and on the ‘go’ menu, click folder list. The folder list contains a folder called ‘recovered personal folder’, which contains the items that had been lost. • Finally, create a new .pst file and drag the items in the recovered personal folder into the new .pst file created. OST Integrity check tool • If running, the user should exit Outlook and double click on Scanost.exe on drive\Program Files\Microsoft Office\OFFICE12. • Prompt for a profile and in the profile name list, click the .ost file that you want to check and click connects if prompted to ‘work online’ or ‘connect’. • Select the’ repairs errors’ check box and click on ‘begin scan’ • Scanost.exe will correct the errors on the file. Sometimes when trying to Repair Outlook synchronize the offline folder file (.ost) with the mailbox on a server running exchange, an error message may come up and to take care of this, the user should use the OST Integrity Check Tool (Scanost.exe) to check the file.
