Many small companies regularly rent meeting rooms. They have discovered that this is a great way to host meetings without incurring the costs associated with maintaining their own office facilities. If your business regularly needs to host meetings, and you are considering taking the option to rent meeting rooms, then the tips below will ensure you do so successfully. • Think about the location – It is tempting to rent meeting rooms which are local to your business. However, you need to consider where all of the attendees will be travelling from and rent meeting rooms which are centralized. • Think about the facilities you need – Are you hosting some form presentation? Then you will probably need an overhead projector. Do you need a whiteboard? Do you need Internet access and a power source for laptops? Before you rent meeting rooms, make a checklist of your requirements before making enquiries. • What time is the meeting scheduled for? – If the meeting is scheduled for very early in the morning or very late in the afternoon you will need to make sure that when you rent meeting rooms, the building will be accessible at this time. • Do you need catering? – If the meeting is likely to be a long one, then you may like to break for lunch. Most buildings which rent meeting rooms can supply caterers to prepare and serve lunch. • Is the meeting likely to run over? – Some meetings naturally continue far beyond the estimated end time. When you rent meeting rooms for a meeting that may well run over, you will need to check that this is OK, and that additional fees are not too high. • Could you make further savings by block booking? – If your business regularly hosts meetings on a certain day of the week or month, you may be able to save some money by booking meeting rooms in advance. Instead of paying the ad-hoc fee each time, try and arrange for a block booking discount. If you intend to book meeting rooms, and have never done so before, then the tips outlined above will help you make sure that you book the right meeting room, with the right facilities.
