Business Processes are essentially how an organization functions, they are the cogs that turn the wheels of production that make the company operate on a daily basis. So it should not be surprising that business process should always be a consideration in your projects. Business Process Analysis needs to be an area considered as part of your project. Will you be directly affecting a current business process? Have you considered downstream impacts on processes? When carrying out a business process analysis the key things to consider are: - The people involved at every step of the process;
- The inputs and the outputs and these can be along the way not just at the beginning and the end;
- The downstream processes from the one directly being assessed because a small change to this process, something as simple as a new field in a spreadsheet can have adverse impacts on other processes; and
- The systems involved in the process.
If as a result of your project business process re-engineering needs to occur, then these activities need careful attention and consideration. The re-engineering of a process can affect so many components of that process, in fact all of those mentioned above. So what are some important considerations when carry out business process re-engineering? - Don’t forget it’s all about the people, the people carry out the process and you need them to continue to do so in an effective and efficient manner. You need their support so you should be taking every measure to ensure you get and maintain that.
- Include the people in the re-engineering process. The worst thing you can do is redesign a process and then hand it over and expect total acceptance. If you include the people in the process of the redesign not only will you end up with a better quality outcome they will feel ownership and be more accepting.
- Again, what are the downstream impacts and how are you going to support those impacts. A project is often given a task to re-engineer a process and they may even identify downstream impacts but are not given a mandate to fix those impacts. This can be to the detriment of your project and your reputation, so consider what you are going to do about those impacts.
True, I can think of projects that will not affect a business process but you really need to consider if and how it is or could affect a business process as a step in your schedule. You don’t want to be responsible for breaking one of the cogs that run the company because you didn’t consider it.
