As businesses grow the complexity of their operations will naturally increase. It is therefore incumbent on the management of expanding businesses to ensure that plans for long-term survival and expansion are firmly in place. If this is not the case the growing enterprise may be overwhelmed by regulatory burdens, cross-departmental miscommunication and failures to be competitive in a variety of markets. Challenges in these areas will be compounded if the workflows associated with them are not streamlined into manageable and measurable tasks and are instead allowed to balloon into an undifferentiated mass of seemingly unrelated tasks. It is, therefore, our strong belief that the streamlining of key workflow procedures is the key to ensure that a business survives and thrives well into the future. It is fortunate, in light of the above, that modern technology provides us with many opportunities to manage workflow processes more efficiently. The use of workflow software provides the modern enterprise with the tools to ‘pull together’ a wide range of tasks, processes and protocols into a single integrated workflow. Not all products operating in this sphere have been created equal however. It is, therefore, of the utmost importance to ensure that your chosen workflow system is ‘fit for purpose’ and can deliver the key business benefits that will ensure business longevity. The following should be the hallmarks of a ‘future proof’ and effective workflow system: Smooth Information Flows: If knowledge is indeed power, then businesses have to be very serious about the way in which information ‘flows’ through the enterprise. The following questions will have to be asked in this regard: Can people who ‘need to know’ be updated and informed at the right times and places? Can stakeholders feed information back into the system in reliable and convenient ways (including on-site reporting)? Is the system able to generate timely, accurate and comprehensive reports on the data in the system? If the answer to any of these questions are ‘no’ we suggest that you keep looking for a system that will be better placed to meet your needs. Reducing ‘Paperwork’: A staggering amount of data can sometimes be generated by a single step in the workflow process. Ensuring that administrative processes are streamlined through the digitisation of forms, reports and checklists will ensure that stakeholders are not swamped by administrative tasks. This will be especially true if databases can be accessed ‘in the cloud’ so that such tasks can be completed in real-time as work is being done. Keeping Up-to-date with Compliance: As businesses grow the regulatory burdens placed on it becomes more intense and onerous. Workflow systems can keep such businesses from being overwhelmed by all the rules, forms and regulations that they suddenly have to deal with. If such a system is well designed it will simply integrate regulatory requirements into the broader workflow framework, ideally to the point where regulatory reporting can be done in real-time over mobile devices. Working Smarter notHarder:Efficiency is, rightly, one of the watchwords when it comes to business success and longevity. Effective workflow systems can certainly contribute to improved efficiencies across the enterprise as it will provide an overarching framework into which individual tasks and processes can be integrated in a seamless fashion. Where these tasks are routine and repetitive (e.g. filling of forms and checklists) they can be automated, leading to less time spent on non-core activities and to improved real-time business intelligence. All of this will allow key employees to spend most of their time on their areas of expertise. A business that wants to not only survive, but thrive, well into the future will be well advised to take the issue of workflow design very seriously.
