Paper document archives have long history. From ancient manuscripts to specially designed document archives with certain temperature, humidity, and lighting conditions – we have come long way in developing various ways and technologies for long-term storage of paper documents. While we kept accumulating the paper documents for ages, the new era of digital document exchange came with the invention of personal computers and accompanying devices such as document scanners which allowed us to capture the paper document content and create the digital or electronic document. So now, with the new necessity to store electronic document copies as well as paper documents, the need for optimization of the storage came up. As paper document archives have their own advanced technologies to make these entities effective, digital document archives also have strong need in technology. First thing that comes to my mind is that every paper archive has sorting issues, catalogization issues, categorization issues, speed and space issues… Well, for digital document archive the set of technologies, processes and tools also have to solve the mentioned before difficulties. To put it simple – paper archives are limited with the size of the building they are hosted in or given space in, just as digital document archives have disk space issues when handling all the documents converted to electronic form. In this case it is possible to use technology to optimize the size of the information stored, while we are not capable of shrinking the paper document of A4 size to A5. So – archive compression would mean for us that the information initially stored in the digital document archive or coming in to it on the regular basis should be specifically treated to reduce its volume or disk space used. Archive compression process archive How can such archive compression be done? What technologies are out there to provide this function? The answer is: there are many. So – what is the difference between all these archive compression software? Well, let’s start from the beginning. I would like to go down to the technology itself and not speak about the electronic archiving solutions as the solutions actually utilize technologies provided by certain vendors in most cases rather than developing archive compression approach themselves. Therefore, the technology developers are the ones who create the opportunity for archive compression itself. The opportunity lies in applying specific algorithms for image treatment after the document electronic copy (or scan copy) is received. When the scan copy image is processed in certain way it allows electronic document file size reduction of up to 1000 times of the original size. More fair and rational compression ratio would be 50 times when the document is already compressed and saved as .jpeg for example, when 4.5mb image will be saved as 100kb PDF/A document with full text indexing.
